Privacy policy
Last updated October 2026. What we collect, why, who it is shared with and your rights under UK GDPR.
1. Who we are
Find My Personal Trainer ("we", "us", "our") runs findmypersonaltrainer.co.uk, a directory that helps people in the UK find and contact independent personal trainers. We are the data controller for the personal data described in this policy.

2. The data we collect
If you contact a trainer: your name, email address, optional phone number, your fitness goal and your message.
If you leave a review: your name, optional email address, your rating and what you write.
If you are a trainer: your account email and password (stored securely and never visible to us), your listing details such as name, business name, photo, bio, location, postcode, specialities, qualifications, prices and contact details, plus your plan, trial and renewal dates.
If you advertise with us: your account details, business name, advert wording, images, website link and package details.
Payments: card and PayPal payments are handled by our payment provider, Stripe. We never see or store your full card number. We receive limited details such as the plan bought, payment status, renewal dates and the last four digits of the card.
Technical data: basic information your browser sends, such as IP address, device type and pages visited, used to keep the site secure and working.
3. Why we use it and our lawful basis
- Passing your enquiry to a trainer — to take steps at your request (contract) and our legitimate interest in running the directory.
- Running trainer and advertiser accounts, subscriptions and billing — performance of our contract with you.
- Publishing listings, adverts and reviews — contract (for listings and adverts) and legitimate interests (for reviews, helping visitors choose a trainer).
- Keeping records for tax and accounting — legal obligation.
- Preventing fraud, spam and misuse, and keeping the site secure — legitimate interests.
- Service emails (account, trial and payment notices) — contract. We only send marketing emails if you have agreed, and you can unsubscribe at any time.
4. Who we share it with
We never sell personal data. We only share it with:
- The trainer you choose to contact (your enquiry only).
- Site visitors — trainer listings, adverts and published reviews are public by design.
- Stripe, our payment provider, to take and manage payments.
- Our hosting, database and email providers, who process data on our behalf under contract.
- Authorities, where the law requires it.
Trainers are independent businesses, not our employees. Once a trainer receives your enquiry they are responsible for how they use your details.
5. International transfers
Some of our providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or approved safeguards such as the UK International Data Transfer Agreement or Standard Contractual Clauses.
6. How long we keep it
- Enquiries: up to 24 months, then deleted.
- Trainer and advertiser accounts: while active, and up to 12 months after closure.
- Payment and invoice records: 6 years, as required for UK tax purposes.
- Published reviews: while the trainer's listing remains live, unless you ask us to remove yours.
7. How we protect it
All traffic is encrypted (HTTPS). Passwords are hashed and never stored in plain text. Database access rules ensure trainers can only see their own enquiries and account data, and payments are processed by a PCI DSS certified provider. No system is perfectly secure, but if a breach affecting your data occurs we will tell you and the ICO where required.
8. Cookies
We use only the cookies and local storage needed to keep you signed in and make the site and checkout work. Our payment provider may set its own cookies for fraud prevention. We do not use advertising or tracking cookies. If we add analytics in future we will ask for your consent first.
9. Your rights
Under UK GDPR you have the right to:
- access a copy of your data;
- have inaccurate data corrected;
- have your data deleted;
- restrict or object to how we use it;
- receive your data in a portable format;
- withdraw consent at any time, where we rely on it.
Email hello@findmypersonaltrainer.co.uk and we will respond within one month. Trainers can edit or delete most of their details directly from their dashboard.
10. Children
Our site is not aimed at under-18s. Anyone under 18 should ask a parent or guardian before contacting a trainer.
11. Complaints
If you are unhappy with how we have handled your data, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
12. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed, and we will tell account holders about significant changes by email.
